How add a delegated Mailbox into your Outlook app or Outlook Web Access (OWA)...
As of late 2023 the desktop version of Outlook has been updated, which has changed several steps for adding a Mailbox. Both versions are currently active and there is an option to switch between the 2 versions at anytime on the top Right of the Outlook App.
Below steps are between two users but is done automatically if a Data Access Request (DAR) is approved
Outlook Application (Old)
- Click the File tab > Account Settings > Account Settings
- Select your email address in the account list
- Click Change > More Settings > Advanced tab > Add
- Enter the delegated mailbox account name or address (e.g xxxxx.xxxxx@orbis.org) and click OK
- Click Apply > OK > Next > Finish
- The shared mailbox will now automatically display in your Folder pane in Outlook
Outlook Application (New)

Right-click the account name and select Add shared folder or mailbox.
- On the pop-up window, type the email address of the delegated mailbox xxxxx.xxxxx@obris.og then click Continue.
- Enter the password of the delegated mailbox if prompted.
- The delegated mailbox should appear in the left pane under your account.
Outlook Web Access (OWA): (Manually done)
Opening delegated mailbox as a separate tab:
- Click on your profile circle, usually on the upper right hand corner (either your profile picture or your initials)
- Then look for "Open another mailbox"
- In the "Open another Mailbox" dialog, Input the delegated mailbox, xxxxx.xxxxx@obris.og then click "Open"
- A new tab will open the permissioned delegated mailbox.
Opening delegated mailbox in the same tab:
- In the Outlook tab of your browser (assuming MS Edge), look for "Folders"
- Then "Right-click" on "Folders"
- Select "Add shared folder"
- Input the delegated mailbox, xxxxx.xxxxx@obris.og then click "Add"
- Now you see your delegated mailbox folder
